How-to
How to gather and order several months of payslips
In shortGathering payslips is mostly routine and labelling. Collecting them from the employer or payroll portal as they are issued, keeping them in date order, and checking the run for gaps makes the set easy to review later.
Where to get each payslip
Most employers issue payslips through a payroll or HR portal, and many keep a history you can log back into and download. If a payslip from an earlier month is missing from the portal, payroll or HR can usually reissue a copy on request. Some employers still send a paper payslip each pay period. In that case, scanning or photographing it soon after it arrives helps avoid it being misplaced later.
- Check the employer's payroll or HR portal first, since it often holds a full downloadable history.
- If a month is not in the portal, ask payroll or HR directly for a copy.
- Scan or photograph paper payslips promptly rather than leaving them loose.
Building a run without gaps
The published guidance on GOV.UK sets out which documents and periods are requested; check it for your own route before deciding how far back to collect. Whatever period applies, a common organising snag is a gap in the middle of the run rather than at the start or end.
- List out each pay period the guidance covers, then tick one off as each payslip is collected.
- Collect payslips as they are issued each month, rather than trying to gather a year's worth at once near the end.
- If a pay period is paid but no payslip was issued (for example, an employer error), ask payroll for a duplicate rather than leaving a gap.
Naming and ordering the files
A consistent naming pattern makes a run of payslips easy to check at a glance, especially once there are several months in one folder.
- Use a year-month prefix in the file name, for example 2026-01 payslip, so files sort into date order automatically.
- Keep the whole payslip, not a cropped section, so the full document stays together.
- Order the set strictly oldest to newest, with no month skipped.
Handling more than one employer
Many people have income from more than one employer over the period being collected, whether from a job change, a second role. It can help to treat each employer as its own labelled set rather than mixing payslips from different employers into one run.
- Give each employer its own folder or clearly labelled group of files.
- Keep each employer's payslips in date order within its own set.
- Note the start and end date for each employer, so a change of job is easy to see rather than looking like a gap.
Cross-checking payslips against bank statements
One organising step some people find useful is matching each payslip to the bank statement entry where that pay lands. This is a cross-reference for tidiness, not a judgement on the figures. It simply helps confirm that a payslip and its corresponding deposit are filed near each other.
- Note the pay date on the payslip, then find the matching entry on the bank statement for that period.
- If a payslip and its expected deposit are hard to match, it can help to double check the pay date rather than assume something is missing.
- Filing the payslip and the statement page for the same month together, or cross-referencing them in an index, keeps the two records easy to find side by side.

Common questions
How many months of payslips are requested?
The period depends on your route and can change, so check the current requirement on GOV.UK, or ask an IAA-registered adviser or SRA-regulated solicitor, before collecting. Whatever the period, keeping the run unbroken makes it easy to check.
What if my employer can't find an old payslip?
Ask payroll or HR whether they can issue a reprint or a letter confirming the pay for that period. Keeping a written record of the request can also be useful alongside the rest of your documents.
Does VisaKnot check whether my payslips are enough?
No. VisaKnot only helps you collect, order and cross-reference them; it does not assess your application. For questions about what is required, use GOV.UK or an IAA-registered adviser or SRA-regulated solicitor.
